Email

Aimly Email is where you manage outbound campaigns: sending brands, leads, templates, and the automated follow-up sequences that keep outreach going after the first email.

Core concepts

  • Brands — a sending identity: a real mailbox (SMTP/IMAP) plus your signature, logo, and BCC settings. Every campaign is tied to one brand, and that brand can't be changed after the campaign is created.
  • Campaigns — a named outreach effort. Each campaign has its own messaging guidelines (goal, tone, value proposition, call to action), attachments, and sending calendar — or it can simply inherit your account-wide defaults.
  • Leads — the people you're reaching out to. Each lead has a contact name and the company they work for. Leads are enrolled directly into campaigns.
  • Templates — saved email copy on a campaign. Every campaign starts with one placeholder template that needs editing before it's ready to send.
  • Automations — a multi-step sequence of delay-and-email steps that runs after a lead's first email, so follow-ups go out automatically on a schedule you define.
  • Categories — tags you can use to organize and filter your leads.

Typical workflow

  1. Set up a brand — connect the mailbox you'll send from.
  2. Create a campaign — name it, assign a brand, and set your messaging guidelines, attachments, and sending calendar (or inherit the defaults).
  3. Write a template — replace the placeholder copy with your own, using placeholders for the lead's name and company so each email is personalized automatically.
  4. Add leads — enter them manually, import a list, or pull in leads found through Finder.
  5. Enroll leads into the campaign.
  6. Generate emails from your template, then review before sending.
  7. Send or schedule — send immediately, schedule for later, or ramp up gradually with staggered batches to protect your sender reputation.

A few things worth knowing

  • A campaign that's actively sending is locked — you can't add new leads or edit its automation sequence while it's running. Pause it first if you need to make changes.
  • Cancelled isn't the same as failed. An email can be held back because a lead opted out, already replied, or failed a verification check — that's expected behavior, and those emails can usually be resent once the reason no longer applies.
  • A queued email that hasn't gone out yet is often just pacing. Each brand sends at a safe daily rate to protect its reputation, and your sending calendar can pause sends on certain days — neither is an error.
  • Attachments are resolved at send time. If you turn on "include brand attachments" after an email has already been generated, it won't retroactively pick them up — you'd need to regenerate it.
